Configure data sources that power target trackers, leaderboards, and calculated points.

Data Buckets

A Data Bucket is your program’s central data source for performance tracking. You define Category Keys (KPI categories), upload targets and progress data, optionally configure Target Points Rules, then save so linked apps—Target Trackers, Leaderboards, and others—stay in sync.

Think of a bucket as: structure (Builder) → targets (goals) → data (actuals) → rules (optional points) → save (publish to apps).

Typical workflow: Create bucket → add Category Keys on Builderupload targetsimport progress data → review Builder preview → configure or review Target Points RulesSave Data Bucket.

Overview

From Data → Data Buckets you can:

  • Create and manage buckets (Active, Inactive, Archive)
  • Define Category Keys and choose which columns appear in the preview grid
  • Upload targets and import progress data via CSV (detailed in linked guides)
  • Review calculated columns — Target, Actual, Difference, Percentage, Target Points, and totals
  • Configure or review point rules that drive the Target Points column
  • Save to recalculate results and sync linked Tables and Leaderboards

Prerequisites

  • An open program with program administrator access
  • Admin role — required to access Data → Data Buckets (Editor or Observer alone is not sufficient)
  • Members or Companies on file with Data Keys set, depending on bucket Data Type — see Members and Companies
  • Linked apps (Target Trackers, Leaderboards) created separately under Apps when you are ready to publish data to the member site

List page

The list has three tabs:

Each card shows the bucket name, last updated date, status, and chips when points are configured:

Use Search to filter cards by name. Click a card or the arrow button to open the bucket.

Create a Data Bucket

  1. On the Data Buckets tab, click Create a Databucket (or the + button).
  2. Enter Databucket Name.
  3. Choose Data Type:
    • Member — rows match members by Data Key; redeemable points are supported
    • Company — rows match companies by Data Key; redeemable points are not available
  4. Click Save.

New buckets start with Data Bucket has Targets enabled and no Category Keys yet. You add keys on the Builder tab.

Builder tab

The Builder is your configuration and preview workspace.

Category Keys

Category Keys (shown under Rows in the UI) are the KPI categories for this bucket—for example Q1_Sales, Warranty, or Training. Each key becomes a row in the preview table.

  1. Under Rows → Category Key(s), click +.
  2. Enter a Category Key name and confirm.
  3. Repeat for each KPI category you need.
Keys with imported data are locked. If targets or progress data have been imported for a Category Key, it shows a lock icon and cannot be removed until that data is cleared. Keys without data can be deleted with the chip close control.

After adding keys, upload targets that include a column for each Category Key.

Preview columns

Under Columns, add calculated columns to the preview grid:

Drag Category Key row order to control display sequence in apps that use this bucket.

Participant preview

Use the dropdown at the top of Builder to Select Member or Select Company (based on bucket Data Type). The table shows that participant’s values across all Category Keys and visible columns, plus a Totals row.

Import history (sidebar)

The right-hand Import History timeline lists progress data imports for the selected participant. Click an entry to:

  • Expand batch details (Category Key values from that file)
  • Snapshot the bucket as of that import date—preview recalculates using data available up to that point

Click Current or Show Current to return to live data.

Delete Data Bucket is available only when the bucket has never had Category Keys used in imports (targetCodes empty). Otherwise use Archive status instead.

Save Data Bucket

Changes across Builder, rules, and settings are staged until you save. When pending changes exist, Save Data Bucket activates in the sticky footer.

  1. Review the Builder preview for expected Target/Actual/Points values.
  2. Click Save Data Bucket.
  3. Wait for processing—Do Not Close Browser while the dialog runs.

On save, the system:

  • Persists bucket configuration and calculated results
  • Syncs linked Target Trackers (Tables) and Leaderboards that use this bucket
  • Queues redeemable point processing when Points are redeemable is enabled and rules apply—member balances update after processing completes

A sync log lists each linked Table and Leaderboard updated. Allow a few moments after save for redeemable points to appear on member accounts.

Publish order: Set up the bucket and save once with data before pointing new Target Trackers or Leaderboards at it—or save again after linking apps so they pick up current results.

How buckets connect to apps

Apps reference a bucket by selection at app setup; saving the bucket pushes fresh results to those apps.

Tips and limitations

  • Admin role required — Only Admin role users see Data → Data Buckets.
  • Data Keys are essential — Targets and data imports match Account Key in CSV to member or company Data Key. Fix unmatched rows before relying on preview or apps.
  • Targets before data — You must upload targets before progress data.
  • Targets replace; data accumulates — A new targets file replaces the previous targets upload. Each progress import adds to (merges with) earlier actual data unless you Undo Import on a specific file.
  • Point formulas — Adding or changing calculation logic on Target Points Rules is handled with your Incentable team for most programs; see Target Points Rules.
  • Company buckets — No redeemable member points; use for company-level KPI tables and leaderboards.
  • Demo programs — Upload and save actions are disabled on demo programs.
  • Archive instead of delete — Once a bucket has been used with imports, delete is blocked; set status to Archive.
