Fund

The Fund screen shows your program’s Rewards Fulfilment Fund—a dollar ledger for programs that use Incentable-managed reward fulfillment (for example, digital gift cards fulfilled by Incentable). It tracks money deposited into the fund and withdrawals as redemptions are fulfilled, so you can see how much funding remains available.

Fund is read-only in the program admin. You can review balances and export history; Incentable records deposits and withdrawals on your behalf. Contact Incentable if you need to top up funding or have questions about a transaction.

When Fund appears.Rewards → Fund only shows in navigation when fulfillment funding is enabled for your program. If you do not see it, your program may not use managed fulfillment funding—or the feature has not been turned on yet. Ask your Incentable contact if you expect to see it.

Overview

From Rewards → Fund you can:

  • Review summary totals — deposits, withdrawals, and current balance
  • Browse the transaction ledger — date, description, reference, type, amounts, and running balance
  • Search by description, reference, or notes
  • Filter by transaction type (Deposit or Withdrawal)
  • Export the filtered list to CSV for finance or reconciliation

You cannot add, edit, or delete fund transactions from the program admin.

Prerequisites

  • An open program with Rewards Fulfilment Fund enabled (Fund visible in navigation)
  • Program administrator access with Editor role (or higher)
  • Rewards Catalog and managed fulfillment in use for the redemptions this fund supports

How the fund works

The fund is a program-level dollar balance, separate from member points:

When members redeem Incentable-managed rewards, fulfillment costs are reflected as Withdrawals against this fund. Deposits increase the balance when funding is added to your program.

Summary cards

Three cards at the top summarize all transactions for the current program:

If the balance is negative, the amount appears in red. Contact Incentable if you need to restore funding before managed redemptions can continue smoothly.

Each row has a Total that drives the balance math. Deposits show Total only in the amount columns (Card(s) Load, Fees, and GST display - in the table). Withdrawals can show a breakdown:

The Balance column is calculated chronologically from transaction dates (oldest first), then displayed newest-first in the table.

Step-by-step

Review your fund balance

  1. Open Rewards → Fund.
  2. Check Current Balance on the summary card.
  3. Scan recent rows in the table—newest transactions appear first.

Use this before or during high-volume redemption periods to confirm funding covers expected managed fulfillment.

Find a specific transaction

  1. Enter Search text to match Description, Reference, or Notes (partial match, case-insensitive).
  2. Optionally use Filter By Type to show only Deposit or Withdrawal rows.
  3. Review Reference for invoice numbers or payment references tied to deposits.

Export for reporting

  1. Apply Search and Filter By Type if you want a subset.
  2. Click Download (N records).

The CSV includes transaction type, amount columns, description, reference, date, notes, and running balance. The filename includes your program name and export timestamp.

Request funding or ask about a entry

If the balance is low, negative, or a transaction looks incorrect:

  1. Note the Date, Description, Reference, and Total from the row(s) in question.
  2. Contact Incentable support or your account contact to top up the fund or investigate.

Do not expect to correct the ledger yourself from the program admin—entries are maintained by Incentable.

Tips and limitations

  • View only — There is no Add Transaction, Edit, or Delete in the program admin. All ledger changes go through Incentable.
  • Not all programs have Fund — Navigation item appears only when fulfillment funding is enabled for your program.
  • Separate from points — Member point balances and batch imports do not change the fund; the fund tracks dollars for managed fulfillment.
  • Link to Orders — Member redemptions appear under Orders. Incentable-managed lines show an Incentable supplier badge and are read-only in your admin.
  • Editor roleObserver role may not see Rewards → Fund in navigation (Editor required on the Rewards submenu).
  • Running balance — Balance on each row reflects all program transactions up to that date; filters change which rows you see, not how balance is calculated internally.
Managed fulfillment funding is maintained by Incentable. Use Fund to monitor deposits, withdrawals, and remaining balance. For top-ups, billing questions, or corrections, contact Incentable rather than trying to change transactions in the admin.
Monthly reconciliation: Export CSV at month end → match Withdrawals to Incentable-managed Orders fulfilled that period → confirm Current Balance matches your expectations → contact Incentable before large campaigns if balance is tight.
