Send emails and app notifications to members.

Communicate

Communicate is where you send bulk emails and mobile app notifications to program members. Target audiences by member status and tags, preview content before sending, reuse templates, and review sent history with recipient lists.

This is separate from member invitations (activation emails sent from Members) and from automated system emails. Use Communicate for program announcements, campaigns, and updates you compose yourself.

Overview

From Members → Communicate you can:

  • Compose and send emails with a banner image, rich-text body, and optional unsubscribe link
  • Send app push notifications when your program has an active native iOS or Android app
  • Save and reuse templates for recurring campaigns
  • Review sent history — preview content, see who received each message, clone past sends to templates
  • Set a default email banner used when you do not upload a custom image per send

Prerequisites

  • An open program with an active, trial, or demo subscription
  • Program administrator access assigned to your account
  • Members with valid email addresses for email sends (see targeting rules below)
  • App notifications require a Current subscription and at least one native app with Active status (iOS or Android)

Set up member tags and company tags before relying on them for audience filters.

How recipient targeting works

Every send filters members using all of the criteria you select. Filters combine with AND logic—members must match every active rule.

As you change filters, the info alert shows how many members match and how many are eligible vs opted out. Click View Recipients to review the full list before sending.

Target Active members only for most campaigns. Including Pending, Invited, or Awaiting Approval can be useful for onboarding nudges; avoid Deleted unless you have a specific reason.

Step-by-step

Send an email

  1. Open Members → CommunicateNew Email.
  2. Optionally choose Apply Template to load saved subject, body, tags, and banner.
  3. Set Member Status, Company Tags, and Member Tags for your audience.
  4. Review the recipient count; click View Recipients to confirm names, emails, companies, and opt-out status.
  5. Enter Subject and compose the body using the rich-text editor (headings, lists, links, formatting).
  6. Preview on the right. Hover the banner image to upload a one-off image, or rely on your default banner.
  7. Toggle Allow Unsubscribe if you want an unsubscribe link in the email footer (see tips).
  8. Click Send.

On success, the message appears on the Sent tab and eligible members receive the email. Replies use the program reply address (defaults to noreply@incentable.com unless configured in program notification settings).

Send an app notification

  1. Open New App Notification (visible only when iOS or Android app status is Active).
  2. Filter recipients by Member Status, Company Tags, and Member Tags (same rules as email, except email validation does not apply).
  3. Enter Heading and Message (maximum 160 characters).
  4. Preview the lock-screen notification on the right.
  5. Click Send.

Members must have the native app installed to receive push notifications. The tab is disabled if subscription is not Current or no native app is active.

Manage templates

  1. Open the Templates tab.
  2. Click Add New Template to create one, or use the row menu on an existing template.

Templates store Member Status, Company Tags, Member Tags, Allow Unsubscribe, subject, body, and optional banner image—everything except the live recipient count at send time.

Review sent messages

  1. Open the Sent tab.
  2. Click Refresh Sent to reload the list.
  3. Click a Subject to preview the sent email or notification.
  4. Click the Recipients count to open the delivery list.

Recipient history

  • Recent sends store a snapshot of each recipient at send time (name, email, status, companies, opt-out).
  • Older sends without snapshots may show current member data instead, which can differ if profiles changed since the send.

From the Actions column, use Clone to Template to save a past send as a reusable template (name and description editable in the dialog).

Configure email settings

  1. Open Email Settings.
  2. Hover the banner image to upload a new default or clear the current one.
  3. Click Save.

This banner is used for new emails when you do not upload a per-send image. Images are resized automatically to 600px wide (height scales to maintain aspect ratio).

Banner upload rules

  • Formats: .jpg, .jpeg, .png
  • Maximum file size: 5 MB
  • After upload, wait for processing to finish before saving

Tips and limitations

  • Not the same as InvitationsSend Pending Member Invitations on the Members list sends activation emails. Communicate sends custom content you write.
  • Opt-out is respected — Members with Email Opt Out on their profile are skipped automatically. You can set opt-out on the member profile Other tab in Members.
  • Allow Unsubscribe — When enabled, marketing emails include an unsubscribe link. Members who unsubscribe via that link are opted out of future Communicate emails. The checkbox is only adjustable when your audience includes Pending, Invited, Awaiting Approval, or Active statuses.
  • Company tag targeting — Requires members to be linked to companies. Use Companies and company tags first, or filter by Member Tags instead.
  • No recipients — If filters match zero eligible members (or all matched members are opted out), send fails with No recipients found. Nothing sent.
  • Demo programs — Saving the default email banner is disabled on demo programs.
  • Per-send banner — Uploading a banner on New Email overrides the default for that send only; it does not change Email Settings.
  • App notifications — Short message (160 characters). No rich text or banner. Requires active native app configuration on the program.
Plan a campaign: Create member and company tags for your segments → save a Template → test with a narrow tag filter → send to Active members → check Sent → clone to template for next time.
